How prospect data is sourced and handled

Outbound work involves researching people in their professional roles. We aim to hold only information that is relevant to that role, and no more than the work needs.

What we hold

Business contact and role information: name, job title, employer, business email address, business phone number where published, and professional profile. We do not seek sensitive personal data.

Where it comes from

LinkedIn Sales Navigator and Apollo are used for research and contact details. Where a campaign needs it, data is also acquired from UK-based data providers that confirm their data is collected and maintained in line with UK GDPR. Company websites and other public business sources are used to check relevance before anyone is contacted.

Where it is stored

Campaign data is held in the CRM and outreach tools the client prefers, usually under the client's own accounts. Demandaxis does not sell contact data or share it with third parties for their own use.

How long it is kept

Contact records are kept only for as long as they are needed for the campaign they were gathered for. Data obtained from a third-party provider is also held in line with that provider's licence and retention terms. At the end of an engagement, campaign data is returned to the client or deleted, as agreed in the client contract.

Outreach on behalf of clients

Campaigns are usually run in the client's name, from the client's own domain and accounts. Buyers deal directly with the company they would be working with, and every message identifies that company.

For these campaigns the client is the data controller and decides how the data is used. Demandaxis acts as its data processor, working on the client's instructions under a written data processing agreement. Opt-outs and requests about personal data received in a client's name are handled through that client's process, with Demandaxis carrying out the actions needed.

GDPR-aware research and outreach

The UK GDPR and the Privacy and Electronic Communications Regulations (PECR) both apply to business-to-business outreach. In practice we:

  • contact people about matters relevant to their professional role
  • check relevance before contact, rather than sending to whole lists
  • make clear in every message who is getting in touch and why
  • include a simple way to opt out in every email
  • keep a record of opt-outs so people are not contacted again
  • only contact sole traders and some partnerships where PECR allows, as they are treated differently from companies

Legitimate interests

Business-to-business outreach relies on legitimate interests as its lawful basis. Before a campaign starts, three questions are considered.

Purpose
Is there a legitimate business reason for the contact? Outreach concerns a problem relevant to the person's professional role.
Necessity
Is the data needed and kept to a minimum? Only business contact and role information is used, and outreach goes to a defined set of accounts rather than whole lists.
Balance
Would the person reasonably expect it, and are their rights protected? People in these roles can reasonably expect relevant approaches about their work. Every message identifies the sender, opting out is simple and takes effect immediately, and no sensitive data is used.

Opting out

Opt-out requests are actioned immediately. The person is added to the relevant suppression list and is not contacted again. For campaigns run in a client's name, the client's suppression list is updated at the same time.

This website does not set cookies. It uses Vercel Web Analytics to count page views, which works without cookies and does not identify individual visitors. Details are in the cookies section of the privacy policy.
